Position Overview

Tongue & Groove Property Services is seeking a highly experienced, polished, and driven leader to serve as our Director of Estate Management & Renovation Projects for the Jupiter and Palm Beach market.

This executive-level leadership role is responsible for overseeing luxury estate management operations while simultaneously managing high-end residential renovations, property improvements, and special projects for ultra-high-net-worth clients.

The ideal candidate is equally comfortable walking a luxury estate with a homeowner, managing complex renovation projects, leading operational teams, coordinating subcontractors, and cultivating long-term client relationships built on trust and exceptional service.

This individual must possess strong leadership abilities, construction and renovation expertise, operational discipline, exceptional communication skills, and a hospitality-driven mindset. Essential Duties & Responsibilities

Estate Management Leadership & Operations

  • Oversee the day-to-day operations of luxury residential estates throughout the Jupiter and Palm Beach markets.
  • Ensure all homes are maintained to the highest standards and remain secure, organized, guest-ready, and proactively cared for.
  • Lead House Managers, Estate Executives, Estate Technicians, subcontractors, vendors, and support staff to ensure seamless operations and superior service delivery.
  • Develop and maintain operational procedures, property standards, inspection checklists, and preventative maintenance programs.
  • Coordinate schedules, workflows, and service priorities across multiple properties.
  • Serve as the primary escalation point for operational issues, emergencies, and client concerns.

 

Luxury Renovation & Project Management

  • Manage multiple high-end residential renovation and improvement projects from estimation through completion.
  • Develop project scopes, budgets, schedules, procurement timelines, and subcontractor coordination plans, alongside a Project Coordinator.
  • Collaborate with architects, designers, consultants, and internal teams to ensure successful project execution.
  • Oversee onsite construction activities, ensuring projects are completed on time, within budget, and to Tongue & Groove quality standards.
  • Review project costs, proposals, invoices, and change orders with accuracy and accountability while maintaining documentation within company software systems.
  • Monitor project profitability while protecting the client experience and maintaining exceptional craftsmanship.
  • Ensure all work complies with construction drawings, specifications, building codes, and safety standards.
  • Conduct site walks, punch list reviews, and quality control inspections throughout all project phases.

 

Client Experience & Relationship Management

  • Build and maintain trusted relationships with high-net-worth homeowners and estate representatives.
  • Deliver a proactive, responsive, and highly personalized client experience.
  • Communicate professionally regarding schedules, budgets, property conditions, and project progress.
  • Handle sensitive situations with discretion, professionalism, and urgency.
  • Anticipate client needs and identify opportunities to enhance the homeowner experience and expand services.

 

Team Leadership & Accountability

  • Lead, mentor, and develop team members while fostering a culture of accountability, professionalism, and excellence.
  • Establish clear expectations and maintain high performance standards across the division.
  • Assist with recruiting, onboarding, training, and developing team members and subcontractors.
  • Promote strong communication, organization, and operational discipline throughout the team.
  • Conduct regular performance evaluations and ongoing coaching.

 

Vendor & Financial Oversight

  • Develop and maintain strong relationships with subcontractors, vendors, and service providers.
  • Hold vendors accountable for quality, responsiveness, professionalism, and schedule adherence.
  • Oversee operational budgets, labor planning, renovation budgets, and expense management.
  • Review estimates, proposals, purchase orders, invoices, and client billing for accuracy and profitability.
  • Identify opportunities for operational efficiencies, enhanced service offerings, and improved margins.
  • Ensure BuilderTrend, Ressio, CRM platforms, and company systems are updated accurately with schedules, budgets, documentation, and reporting.
  • Provide regular operational and financial updates to company leadership.

 

Quality Control & Operational Excellence

  • Maintain impeccable standards for cleanliness, organization, craftsmanship, and presentation across all properties and projects.
  • Ensure all work reflects the Tongue & Groove luxury brand and commitment to no-defect construction and service.
  • Conduct regular property audits and project inspections to ensure consistency and accountability.
  • Drive continuous improvement in systems, procedures, and service delivery.

Qualifications & Experience

  • 7+ years of experience in luxury residential estate management, high-end construction, renovation project management, or a related field, preferably in Palm Beach County.
  • Strong knowledge of luxury residential construction, renovation processes, property systems, and preventative maintenance.
  • Experience managing multiple projects, vendors, and client relationships simultaneously.
  • Exceptional organizational, leadership, and communication skills.
  • High emotional intelligence and ability to work effectively with affluent clientele.
  • Strong financial awareness, including budgeting, estimating, and project cost management.
  • Proficiency with BuilderTrend, CRM systems, and Microsoft Office/Google Workspace.
  • Ability to lead teams while remaining hands-on when necessary.
  • Strong sense of urgency balanced with exceptional attention to detail and quality.
  • Professional appearance, demeanor, and communication style required.
  • Valid driver’s license and ability to travel locally between properties and project sites.
