Position Overview

The Front Office Manager & Admin Assistant is the first point of contact for guests and clients and serves as the foundation of an organized and efficient office environment. This role manages all front-desk activities, including visitor reception, communication handling, meeting coordination, supply oversight, and administrative support.

This position requires a polished communicator, someone who thrives on organization, multitasking, and offering five-star service from the first hello to the last detail.

Essential Duties & Responsibilities

Visitor Management

  • Greet and welcome all guests with professionalism

  • Direct visitors to the appropriate team members

  • Notify staff of client arrivals

Communication Handling

  • Answer, screen, and route incoming phone calls

  • Provide accurate information in person, over the phone, and via email

Office Organization

  • Maintain a tidy and welcoming front office and shared spaces

  • Ensure supplies, forms, and materials are stocked and orderly

Mail and Deliveries

  • Receive, sort, and distribute incoming mail and deliveries

  • Supply Management

  • Track inventory and order office supplies as needed

Calendar and Meeting Coordination

  • Update calendars, schedule meetings, and ensure meeting spaces are prepared

Administrative Support

  • Assist with clerical tasks such as filing, scanning, and errands

  • Travel & Accommodations

  • Arrange travel plans and accommodations for company staff when needed
