DESCRIPTION:

The Receptionist at Tongue & Groove plays a crucial role in ensuring a positive and organized office environment. The primary responsibilities involve welcoming visitors, managing phone calls, maintaining the reception and common areas, and assisting with various administrative tasks. Here’s a breakdown of the essential duties, qualifications, and core competencies for this position:

Responsibilities:

1. Visitor Management:

  • Greet and welcome visitors.
  • Direct visitors to the appropriate personnel.
  • Notify company staff of visitor arrivals.

2. Communication Handling:

  • Answer, screen, and forward incoming phone calls.
  • Provide basic and accurate information in-person, via phone, and email.

3. Office Organization:

  • Ensure the reception area and common areas are tidy and well-presented.
  • Keep necessary stationery and materials stocked (e.g., pens, forms, kitchen, brochures).

4. Mail and Deliveries:

  • Receive, sort, and distribute daily mail and deliveries.

5. Supply Management:

  • Order front office supplies and maintain inventory.

6. Calendar and Meeting Management:

  • Update calendars and schedule meetings.
  • Ensure meeting rooms are prepared for scheduled meetings.

7. Administrative Support:

  • Perform various clerical tasks such as filing, photocopying, and running errands.

8. Travel and Accommodation:

  • Arrange travel and accommodations for staff as needed.

Education, Experience, and Required Core Competencies:

1. Education and Experience:

  • High school diploma or GED required.
  • 2-3 years of relevant experience in an office environment.

2. Technical Skills:

  • Proficiency with Microsoft Office/Office 365.

3. Communication Skills:

  • Excellent verbal and written communication skills.
  • Strong phone skills.
