We’re seeking a talented individual to join our Tongue & Groove Property Services division, which offers discerning homeowners a membership program for property maintenance. DESCRIPTION:

As a Project Coordinator, you will play a crucial role in managing purchase orders (POs), tracking purchase orders, and scheduling deliveries for construction and design projects. You will work closely with project teams, vendors, and suppliers to ensure the timely and efficient procurement and delivery of materials and equipment required for successful project execution. Your attention to detail, organizational skills, and ability to communicate effectively will be essential in this role.

  • Good Communication and Interpersonal Skills: Capable of establishing and maintaining strong relationships with project teams, vendors, and stakeholders, fostering effective communication throughout the procurement and delivery process.
  • Strong Organizational and Multi-tasking Skills: Able to efficiently organize and manage multiple purchase orders, deliveries, and project timelines simultaneously, ensuring seamless coordination.
  • Excellent Analytical and Problem-Solving Abilities: Proficient in analyzing data related to procurement, deliveries, and project progress, and able to proactively identify and address potential issues or bottlenecks.
  • Team-Management and Leadership Skills: Demonstrated ability to lead and manage a team of procurement and delivery professionals, providing direction, support, and guidance to ensure project success.
  • Documentation Management and Project Management Tools: Skilled in maintaining accurate and organized records, as well as using project management software (CoConstruct, Materio and Studio), and other tools to streamline processes, maintain schedules and improve efficiency. 
  • Attention to Details Even Under Pressure: Committed to maintaining accuracy and precision in all aspects of the role, even when faced with tight deadlines and high-pressure situations.
  • Time Management Skills: Proficient in managing time effectively to meet project deadlines and ensure the timely delivery of materials and equipment.

KEY RESPONSIBILITIES:

  • Purchase Order Management:
    1. Create, review, and process purchase orders for construction and design projects, ensuring accuracy and compliance with company policies and project requirements.
    2. Collaborate with project managers and stakeholders to determine material and equipment needs.
  • Vendor and Supplier Communication:
    1. Establish and maintain relationships with vendors and suppliers to negotiate terms, pricing, and delivery schedules.
    2. Communicate regularly with vendors to confirm order details and resolve any discrepancies or issues.
  • PO Tracking:
    1. Develop and maintain a comprehensive tracking system for all purchase orders, monitoring order status, expected delivery dates, and vendor performance.
    2. Update project teams and stakeholders on the status of purchase orders.
  • Delivery Scheduling:
    1. Coordinate with suppliers and logistics providers to schedule and track deliveries of materials and equipment to project sites in a timely manner.
    2. Ensure that deliveries align with project timelines and requirements.
  • Inventory Management:
    1. Monitor inventory levels of materials and equipment to prevent shortages or overstock situations.
    2. Work with project teams to adjust orders as needed based on project progress.
  • Quality Assurance:
    1. Inspect received materials and equipment to ensure they meet quality standards and specifications.
    2. Document and report any quality issues to appropriate parties.
  • Cost Control:
    1. Assist in controlling project costs by analyzing purchase orders and invoices, identifying cost-saving opportunities, and reporting cost overruns.
  • Compliance and Regulations:
    1. Ensure compliance with relevant industry regulations and company policies related to procurement and delivery processes.

QUALIFICATIONS:

  • Construction or Design Coordinator, or a related field (preferred).
  • Previous experience in procurement, construction, or project coordination roles.
  • Proficiency in using procurement and inventory management software/tools.
  • Knowledge of construction and interior design materials.
  • Ability to work effectively in a fast-paced and dynamic construction environment.
